Management asks: what are we doing with AI?
The question comes up at every meeting. Everyone thinks it matters, nobody has time to figure it out.
for organisations that want to go beyond trying things out
In one working day we explore with your team where AI can improve your work, including places you hadn’t thought of. You choose 2 to 4 applications. We work out the first one far enough for you to start a pilot, with the agreements that go with it.

01
The question comes up at every meeting. Everyone thinks it matters, nobody has time to figure it out.
02
One colleague summarises reports with ChatGPT, another translates with a free tool. None of it becomes a fixed way of working, and nobody knows where which data ends up.
03
An overflowing mailbox, reports that take hours, information spread across five systems. Can AI help with that, using what you already have?
04
Your board or funder wants to know what happens with AI, and the AI Act asks you to work on AI literacy. We make those agreements on the same day, around what you’ll actually do.
Honest advice · Not every question needs a Roadmap.
Already know which process you want to improve? Then we discuss a first workflow straight away. One concrete question? Then a 1-hour Pitstop is often enough. Want to know first what’s already running? Start with an AI Scan.
How it works
You don’t need to know yet what AI can do for you. Bring a task that keeps coming back, a process that gets stuck or a plan there’s never time for. We bring the possibilities. Whoever leads the day builds AI applications themselves.
Before
In an intake with management we set the focus. Your team fills in a short survey: what they already use, where they lose time, what they’d like to do differently.
Morning
We start from your work, not from the tools. Where do you lose time? Which service do you want to improve? Which information goes unused because it’s too hard to find? We show what AI can do there.
Afternoon
Together we choose 2 to 4 applications. We work out the first one right away: how the work flows, what AI does, what a colleague checks and which data is involved. That way we make the agreements when they matter.
Afterwards
After the working day you get everything in writing. We walk your management or team through it.
No obligation: it starts with a 30-minute introductory call. There we look at whether a Roadmap fits and who needs to be there on the day.
After a first conversation you get a proposal with a clear scope and a fixed price.
What you get
No thick report for the shelf. Short documents in Word and Excel that you can adapt yourself, in your own house style if you provide a template.
First application, worked out
Handling requests faster
Example
What we want to improve
Staff read every request in full and email back for what’s missing.
How it can work
A request comes in → AI pulls the data from the text → what’s missing is flagged → a colleague checks → the request goes into the existing system.
Where we start
One type of request, tested on a set of real examples.
What we figure out first
The quality of the documents, access to the system and which data we may process.
When the pilot succeeds
Less processing time per request, at the quality we agreed in advance.
Effort
Medium: a pilot of 4 to 6 weeks around one type of request.
An example, not a template. Your write-up follows from the working day.
After the Roadmap
Want the first application built? The same people who helped you think it through build it. You can also continue yourselves, or with another partner. The plan is yours.
Build
We build the worked-out application in your own environment and test it for 4 to 6 weeks. Then you decide based on figures: roll out, adjust or stop.
Learn
Put the AI literacy plan into practice with training and workshops tailored to your teams.
Check
Want to check after a year whether what’s running still matches your policy? The AI Scan maps tools, data flows and self-built apps.

Frequently asked questions
Management, someone from IT, your privacy officer or DPO and a few people from the teams that use (or want to use) AI the most. Usually 4 to 8 people. Exactly who, we work out in the introductory call.
A 1-hour intake with management, a 10-minute survey per staff member, the working day itself and a walkthrough afterwards. We write the worked-out application, the policy and the plan.
No. If you know which process you want to improve, we discuss a first workflow straight away. A Roadmap helps when you want to choose where AI can make the most difference, or when there are already lots of loose ideas.
Yes. You get an AI policy, a code of conduct, a register and an AI literacy plan. That covers what applies to most organisations. We write the policy from practice: which tools, which data, who decides and who checks. We don’t give legal advice, nor a guarantee of compliance. Want the policy reviewed legally, especially for high-risk applications? Your own lawyer does that, using our write-up as the basis. Only want an AI policy, without choosing applications? That’s possible as a separate track.
Sometimes, yes. Then we recommend a 1-hour Pitstop first. But often your team is already trying things out. Then it’s better to choose now what you focus on.
No. We work without vendor lock-in. Where a tool you already have will do, we say so. Privacy, European control and energy use count in every choice.
What you tell us stays confidential. We only use the survey answers for your Roadmap. If you ask for a confidentiality or data processing agreement, we arrange it before the start.
Question not listed? Just ask us.
Tell us where you stand. In a first conversation we look at whether a Roadmap fits, or whether you’re better off starting with a first workflow right away.
