for non-profits, federations and the social economy
Ethic builds AI agents and workflows for non-profits, federations and umbrella organisations. They prepare requests, emails and reports in your own systems, so your team has more time for members, clients, volunteers and participants. We start with a pilot around one task.

Ethic is the AI studio of Zenjoy, the digital product studio from Leuven that has built and maintained software, platforms and integrations for more than 400 organisations since 2011.
At a glance
Sound familiar?
Four tasks we often come across in non-profits and federations. The AI workflow sorts and prepares; a colleague finishes whatever goes outside.
Forms and requests
Registrations and requests come in by email, form and phone. Someone retypes them.
Every request is in the right fields, borderline cases are flagged. A colleague decides on the request.
Shared mailbox
The info@ mailbox fills up with questions from members, clients, volunteers and partners.
Every email gets a label and a suggested reply. Your team chooses what goes out.
Reporting
The board and the funder ask for figures. You pull them together on a Friday evening.
The figures come from your own systems. AI writes a first commentary with the source next to every number, and you read it through.
Knowledge assistant
New volunteers keep asking the same questions about arrangements and procedures.
A knowledge assistant answers from your own handbook, with sources. If there isn’t enough to go on, it doesn’t answer and refers the question on.
Also often asked: processing invoices and receipts.
Whether someone gets support, a place or guidance. The conversation with someone in need, or with a volunteer who is struggling. We don’t build AI for those.
Integrations
Many non-profits work with Microsoft 365, a CRM and a few Excel files. We connect AI to what’s already there, with its own access that you can revoke yourself, and as few rights as possible.
Office and collaboration
Emails, Teams and documents on SharePoint.
CRM
Members, donors and requests in your CRM.
ERP and administration
Invoices, contracts and membership administration.
Microsoft and Salesforce have their own programmes for non-profits, and Microsoft 365 now includes Copilot Chat. If the AI in your package is enough, we’ll say so and build nothing. Still working mostly in Excel? Then a good form or a simple database is often a better first step than AI.
For your DPO, IT and board
Forward this page and every colleague will find an answer here. This is not legal advice, just how we work.
For your DPO or privacy officer
It is often about people in a vulnerable situation. Sometimes also about health, religion or trade union membership: special category personal data under the GDPR. The AI only gets what the task needs. The AI fact sheet states which data, which model and where it runs. You can get a data processing agreement on request.
For your IT or your IT partner
No. We work in the software you already use, with dedicated access and minimal rights. You can revoke that access yourself. If you work with an external IT partner, we agree the roles in advance.
For your management and board
Anyone who uses AI must make sure the people working with it know enough about it. After the pilot, code, prompts, documentation and access are in your organisation’s name, not ours.
Ground rules
AI may handle reversible internal tasks, such as entering registrations in the right fields. A colleague first reviews anything sent outside the organisation and any decisions about people.
No case files in a model if the task doesn’t require it. European hosting as standard, with provider and country in the AI fact sheet.
The smallest model that works, and a pilot around one task. That suits a tight budget and uses less energy.
Getting started
A 1-hour Pitstop or a 2-to-3-week AI Scan. For anyone still looking for where AI fits, or wanting to know what colleagues already use.
4 to 6 weeks in your own systems. We measure the time per task and how often your team has to make corrections. Then you decide: roll out, adjust or stop.
For staff and volunteers who work with AI. A first step towards the AI literacy the AI Act requires.
After a first conversation, you get a proposal with a clear scope and a fixed price.
Who builds it
Ethic is the AI studio of Zenjoy, the digital product studio from Leuven. Since 2011, Zenjoy has designed, built and maintained software, platforms and integrations for more than 400 organisations. You can see it in how we build AI: with tests, documentation and maintenance, so it still works three years from now.
We have used AI in our own work for years. With Ethic, we now put that experience to work where it matters, including in the non-profit sector.

No middleman: the people who design and build your workflow sit at the table themselves.
Code, prompts, documentation and access are in your name, not ours.
If a system or a model changes, the same team adapts the workflow.
Questions
You can get a data processing agreement and a security overview on request.
Question not listed? Just ask us.
Not much, and we plan it around how you work. Before we start, we talk to the people who do the task today. During the pilot we ask for one fixed contact person, 2 hours a week, who reviews the AI’s suggestions and gives feedback. If you work with volunteers, we take their availability into account.
The AI only sees the sources we agree on together. As standard, we choose hosting in the EU. The AI fact sheet names the model, the provider and the location. We work with providers that don’t use your data to train their models.
It can, and that’s why a colleague approves before anything goes out. If the AI is unsure, it goes to a person. We log what the AI workflow did, so you can check afterwards what happened. In the pilot we measure how often your team has to make corrections. Based on that, you decide whether to continue.
Then we adapt the integration. That’s part of the fixed monthly maintenance arrangement. Zenjoy has maintained platforms and integrations for years after launch, including when an organisation switches systems. Everything is in your organisation’s name, so you’re not tied to us.
Usually your organisation uses the AI workflow under its own responsibility. The AI Act then calls your organisation a deployer. We build and maintain the workflow. If you put it into use under your own name, your organisation can also count as a provider. We record the roles for each workflow in the AI fact sheet. For AI literacy, your team can take a training course with us. This is not legal advice.
Microsoft and Salesforce have programmes for non-profits that meet their conditions. Read those conditions carefully: at Microsoft, separate rules apply to volunteers and members. Whether an integration works with the licences you have is something we look at in the introductory call. If the AI that’s already built in is enough, we’ll tell you that too.
Tell us in the introductory call. We’ll tell you honestly whether AI helps, or whether a better form will do. One specific question? Request a 1-hour Pitstop.
