SharePoint
Knowledge assistant with sources
Staff ask questions about policy and procedures. The assistant only searches agreed folders and links to the source document.
Your team already works in Outlook, Teams and SharePoint, and many licences already include Copilot Chat. So you want to know what it’s allowed to see and who checks what comes out. We help you choose between Copilot, Copilot Studio and your own workflow, and build what’s missing.
At a glance
Honest advice
For many questions, what Microsoft offers is enough. We’ll tell you honestly which of the three fits, even if it’s the cheapest.
| Microsoft 365 Copilot | Copilot Studio | Your own workflow | |
|---|---|---|---|
| Good for | Personal help with emails, meetings and documents. | Simple agents inside Microsoft, such as a helpdesk for internal questions. | A task across several systems, your own review step and logging, or a small European model. |
| Watch out | Copilot shows everything an employee has at least read access to. Messy SharePoint permissions suddenly become visible. | You pay in Copilot Credits, per use or through a prepaid pack. You choose from the models and hosting Microsoft offers. | More building up front. But you choose the model, where it runs and what gets logged. |
| What we do | Review permissions, make agreements and train your team. | Build, test with real questions and set up logging. | Build with an AI fact sheet, and maintain after launch. |
What you can do with it
SharePoint
Staff ask questions about policy and procedures. The assistant only searches agreed folders and links to the source document.
Outlook
Emails get a label and a suggested reply automatically. Your team sends, after reading it through.
Teams
After a meeting, a first draft of the minutes is ready. The chair adds to it and approves.
Forms and Lists
Free text from requests becomes a tidy list, ready for your CRM or your follow-up.
How it works
This is how a knowledge assistant on SharePoint can work.
An employee asks a question in Teams, just as they would ask a colleague.
The assistant only searches the SharePoint folders agreed in advance.
The answer links to the source document, so you can check it yourself.
Not enough support in the sources? Then the assistant doesn’t answer and refers you to the right colleague. We test that in advance.
For each question, we keep the question, the sources used and the answer. That shows you where the assistant falls short.
Control
Some doors swing both ways, others only one. AI can do things on its own if they can be undone and stay inside your organisation. Anything that goes outside or decides about a person goes to a colleague first. We agree what AI can do on its own, when someone has to approve and when the workflow stops.
Copilot sees what your staff see. That’s why we first check who has access to which SharePoint sites and folders.
Confidential documents get a sensitivity label. If that label encrypts a document, Copilot respects the user’s permissions. In your own workflow, we build in the same boundary.
Copilot use is logged automatically in the Microsoft Purview audit log: who, when and which files. If we build it ourselves, the workflow logs input, sources, outcome and approvals.
For EU customers, Copilot falls under the EU Data Boundary, with exceptions such as Anthropic’s models. For each use, we check what still goes outside Europe.

Not always. Copilot Chat is included in many Microsoft 365 licences; the full Copilot is an extra licence. A knowledge assistant or a mailbox flow can also be built as your own workflow within your existing Microsoft 365. We set the options side by side before you choose.
Microsoft processes European customers’ data largely within the EU Data Boundary. For each use, we check which services fall outside it, and where needed we choose a European alternative.
Yes. Many non-profits use Microsoft’s licences for non-profit organisations. We start from what’s already in your licence before we suggest anything extra.
Microsoft updates Copilot regularly. Under a maintenance agreement, we follow those changes and let you know what they mean for your agreements and workflows.
Yes. In a practical workshop, your team learns what Copilot does well, where it makes mistakes and which data doesn’t belong in it.
Not much. We need someone who can assign permissions in Microsoft 365 and knows where the documents are. We do the configuration and the testing, together with the people who will use it.
In a first conversation, we look at your setup and your questions. You get honest advice: Copilot, Copilot Studio or your own workflow.
