for admin teams in non-profits, care and education

Every invoice with the right project.
Exceptions included.

Peppol invoices already arrive as data, and your accounting software can often read standard PDF invoices by itself. We build what comes after: one queue for all your channels, assignment to projects or grant files, exceptions handled separately and an approval that runs across your systems.

Ethic is the AI studio of Zenjoy from Leuven. Since 2011 that team has built and maintained software, platforms and integrations for more than 400 organisations.

How it works

From PDF to approved entry in five steps

Some doors open both ways, others only one way. What you can undo and stays inside your organisation, AI may do itself: filling in fields, preparing a draft entry. What goes outside or decides about a person is checked by a colleague first: final booking and payment.

  1. 1

    Coming in

An invoice arrives in a fixed mailbox or folder, for example invoices@. Peppol invoices are already structured and skip the next step.

  2. 2

    Read out

AI reads the data from the document and shows for each field how certain it is.

  3. 3

    Suggestion

The workflow looks up the supplier and the project and prepares a draft entry in your software. Nothing has been booked yet.

  4. 4

    Control

A colleague approves or adjusts. Above an agreed amount or with a new account number, a second colleague also signs off.

  5. 5

    Keep track

For each invoice the logs show what came in, what the AI suggested, what someone changed and who approved. That way you see how often someone has to correct things.

Where your admin team’s hours go today

We take one task: incoming invoices. The same works for expense claims, certificates and contracts.

  • Coming in

    Today

Invoices come in by email, post and Peppol. Someone saves them and forwards them.

    With this workflow

Everything lands in one queue, with the original document attached.

  • Assigning

    Today

Working out which project, budget or grant file an invoice belongs to.

    With this workflow

AI suggests a project or cost centre and shows which earlier entries that is based on.

  • Exceptions

    Today

You only notice a duplicate invoice or a new account number at payment.

    With this workflow

Exceptions are set apart: a duplicate invoice, a new account number, an amount above your threshold.

  • Approving

    Today

An invoice goes round by email for a signature and is then retyped into a second system.

    With this workflow

Whoever has to sign gets the invoice with the suggestion alongside. After approval the entry is ready in your software.

From conversation to pilot

  1. Discuss your workflow: 30 minutes, no obligation. We look at your document flow.
  2. A pilot of 4 to 6 weeks in your own environment, with real invoices.
  3. You decide with figures: roll out, adjust or stop.

After a first conversation you get a proposal with a clear scope and a fixed price.

What the pilot measures

How long an invoice takes today and how long with the workflow. How often someone has to change something, and what kind of mistakes they are.

We don’t promise results in advance. We measure them.

AI fact sheet

What this workflow may see, and who stops it

Every workflow gets one sheet that your accountant, your IT lead and your DPO understand straight away. This is what it looks like for invoices.

What this workflow doesn’t do

  • Pay invoices
  • Book anything for good without a colleague seeing it
  • Decide on refunds or allowances to individuals
  • Read mailboxes or folders beyond what is in the AI fact sheet

Example

Incoming invoices to Odoo

Version 0.1 · October 2026

  • What it does

Reads purchase invoices from the invoices@ mailbox and prepares a draft entry in Odoo. Books and pays nothing itself.

  • Which data

Only the attachments in invoices@ and the list of suppliers and projects in Odoo. No access to other mailboxes or to payments.

  • Model and location

A language model that runs in the EU. Your data is not used to train models; that is in the contract with the provider.

  • Who checks

The workflow fills in fields and prepares a draft itself. The accountant approves every entry before it becomes final. Above an agreed amount or with a new account number, a second colleague also signs off.

  • What we log

Per document: what the AI read, what someone changed and who approved. Kept for 90 days, visible only to the finance team.

  • Owner and stopping

Owner: the finance lead. You can stop at any time: the integration is withdrawn in Odoo and the logs are handed over.

Can’t our accounting software do this itself?

Sometimes it can. If you work in Odoo and mostly receive ordinary purchase invoices, Odoo can read them itself and turn them into a draft invoice, including when you send them to a fixed email address. Turn that on first and see how far it gets you. We help set it up or look at it together in a Pitstop. Read more about Odoo or about accounting and Peppol

Since 1 January 2026, Belgian VAT-registered businesses have had to send each other structured e-invoices via Peppol. For those invoices, retyping disappears. Checking, assigning and approving is still work. If your organisation is not VAT-registered, or only carries out exempt transactions, PDFs will keep coming in. Check with your accountant. Expense claims and certificates don’t come through Peppol anyway. Source: efactuur.belgium.be

If almost everything comes through Peppol, we only build what’s left: assigning to a project or grant, and the approval. A dedicated workflow pays off mainly when documents come in through different channels, go to more than one system or contain sensitive data.

How long before we see something?

After a 30-minute introductory call, the pilot runs for 4 to 6 weeks in your own environment, with real invoices. During those weeks we measure how long an invoice takes and how often your team has to change something. Then you decide with figures: roll out, adjust or stop. Want to know first whether it makes sense? Then start with a 1-hour Pitstop.

Where are our invoices stored, and what does the model see?

The model only sees the documents from the agreed mailbox or folder, and the fields it needs. We choose a model and hosting that suit how sensitive your data is, in the EU as standard. We only work with a provider that doesn’t use your data to train models. It’s all in the AI fact sheet.

What if the AI misreads an amount or account number?

That can happen. That is why a colleague approves every invoice before anything is booked. If the AI is unsure about a field, you see that straight away. A new account number or an amount above your threshold gets an extra check. During the pilot we count how often someone has to correct things.

What if Odoo or our accounting software changes something?

The workflow checks itself: if a step stops working or the results look off, we get an alert. Fixing it is covered by the maintenance agreement. Zenjoy has been maintaining platforms and integrations for years after launch; your workflow gets the same care.

What does the AI Act mean for this workflow?

Your organisation uses the workflow and is therefore usually the deployer. We write down who has which role for each workflow in the AI fact sheet. A workflow that reads invoices doesn’t decide about people and generally doesn’t fall under the high-risk uses. Your team does need to know how it works and where it can go wrong. That is called AI literacy. We explain the workflow to the people who use it; if you want more, a training session is possible. This is not legal advice.

Can the workflow link invoices straight to the right project or grant file?

Yes, if that information is somewhere: on the invoice, in a purchase order or in earlier entries from the same supplier. The AI makes a suggestion and your team confirms. For invoices split across more than one grant, someone from your team always decides.
